Information you give us
- Appointment requests. Your name, phone number and email address, the date and time you choose, and anything you add, such as insurance details.
- The contact form. Your name, email address, the subject and your message.
- Patient forms. The completed forms you upload, and the contact details you enter with them.
- Calls and emails you start from the website, which reach us like any other call or email.
Please do not put more health detail into the contact form than you need to. If something is sensitive, call us instead.
Information collected automatically
- Google Analytics. We use Google Analytics to understand how the website is used: which pages are read, and whether visitors tap to call, ask for directions, request an appointment or send a form. It uses cookies and records things like your approximate location (city), device, browser and the pages you visit. It does not tell us who you are, and Google Analytics 4 does not log or store IP addresses. You can opt out with Google’s browser add-on at tools.google.com/dlpage/gaoptout.
- Server logs. Our web host keeps standard records for security and troubleshooting, such as IP address, browser type, and the date and time of each visit.
- Your own browser. The appointment form may save the details you entered in your browser, so they are filled in next time. On a shared computer, clear the browser’s data for this site when you are done.
- Cookies. Apart from analytics, the site uses only the cookies it needs to work, such as those set when our staff sign in to manage it.
How we use it
- to answer your message, and to schedule, confirm or change appointments
- to prepare for your visit, including checking your insurance
- to understand and improve how the website works
- to keep the website secure and stop spam and abuse
- to meet our legal and professional obligations
We do not sell your personal information or share it for advertising.
Health information
Information you send us about your health, treatment or insurance becomes part of your dental record once you are our patient, and is protected under the federal HIPAA Privacy Rule as described in our Notice of Privacy Practices.
Who we share it with
Only the companies that provide services to us, such as our website host, our email provider and Google Analytics, and only as needed for those services, or when the law requires it. Companies that handle patient health information for us are required by law to protect it.
How long we keep it
Appointment requests and messages are kept only as long as we need them to arrange your care and to meet our record-keeping obligations. Information that becomes part of your dental record is kept for as long as the law requires.
Security
Every page and form on the website uses an encrypted (HTTPS) connection. Appointment requests, messages and uploaded forms are delivered to the practice’s email account, and access is limited to our office team. No website or email system is completely secure, so please call us about anything urgent or especially sensitive.
Children
We care for children, but this website is meant for adults. Parents and guardians should make appointment requests and send forms for their children.
Your choices
- You can ask what information you have sent us through the website, or ask us to correct or delete it, unless we need to keep it by law or as part of your dental record.
- You can block or delete cookies in your browser settings, or use Google’s opt-out add-on for Google Analytics.
- Your rights over your dental records are set out in our Notice of Privacy Practices.
Links to other websites
Our website links to other sites, such as Google Maps and our social media pages. Their own privacy policies apply when you visit them.
Changes to this policy
We may update this policy from time to time. The effective date at the top shows when it last changed.
